Executive Membership Services - part-time 21 hours (Maternity leave cover for three months)About the role:·Provide support for general FDF activities which are of common interest to FDF member companies, particularly those with interests in the sectors covered by the FDF Groups for which responsible; ·Be responsible for services effectively, to the satisfaction of the members for the Potato Processors’ Association and provide additional support where necessary for other FDF sector groups·Provide secretarial support as required by the PPA Director General for the Potato Processors’ Association and other FDF sector groups as necessary.·Provide effective secretariat services, to the satisfaction of members, for other areas of activity, as required by the Manager Membership Services.Key Requirements:Graduate or equivalent;Interest in the UK food and drink industry and regulatory issues impacting the industry;Previous knowledge of committee work;Strong ability to manage a diverse workload and wide range of issues / projects;Knowledge and interest in the workings of UK and EU Government bodies, especially FSA, DEFRA, European Commission and EU institutions;Good ability to summarise and analyse information;Good written and oral communication skills;Team player with good interpersonal and negotiating skills and strong ability to sustain a range of working relationships;Ability to prioritise work, work under pressure, manage time and meet deadlines;Responsible, flexible and self-motivated with a willingness to learn; Excellent administrative, secretarial and organisational skills and accuracy – including accounting competence;Good working knowledge of IT packages, including Microsoft Word, Excel, Outlook, Explorer and PowerPoint and ability to use internal FDF software packages; Event management ability (i.e. seminars, conferences, meetings);Willingness to travel to meetings if required.Main Duties:Implement the policies and strategies of the Association/groups, with the support of the Manager Membership Services or PPA Director General where appropriate, ensuring members’ views are correctly and effectively represented and members and other are kept informed.Be aware of and monitor developments in, and progress of, issues that may affect the Association/groups to enable timely action to be taken, maintain accurate and up-to-date records of these issues and their progress through the regulatory procedure, undertaken further research as appropriate and keep members and others informed of developments as appropriate.Assist in the development of policy in those areas for which responsible, seeking input from member companies to the policy development.Attend and minute meetings of the Association/groups.Attend; provide industry representation at, and report, as required, on internal FDF meeting and external meetings with FSA, DEFRA and other relevant organisations, including European meetings.Prepare and circulate to members of the Association/groups documents, meeting papers and all other relevant information and keep Group information on the FDF website up-to-date.Communicate all relevant information within FDF, to member companies and external organisations in relation to the activities of the Groups and related issues, using the FDF website and wider member communications as appropriate.Co-ordinate and organise effectively arrangements for meetings of the Association/groups, other events, exhibitions, seminars, conferences as required and related internal and external meetings, including: meeting rooms, accommodation, catering, travel, invoicing, members’ attendance and preparation of papers for meetings.Organise effectively the administration of the Association/groups, including membership administration, maintenance of records, files, procedures and contacts databases.Organise effectively the financial affairs of the Association/groups as required; including dealing with invoices/chasing debtors etc.Act as the first point of contact for internal and external communications and enquiries, either dealing with these personally or referring them to the Manager Membership Services or PPA Director General or other appropriate individual or body. Be aware of, and maintain up-to-date knowledge of, members’ interests and issues that may affect them.Work with the Manager Membership Services, PPA Director General, other members of FDF staff as required, members of the Association/groups, associated contacts within FDF member companies and other external contacts, including from Government, Agencies, the relevant European associations and other bodies, to achieve objectives.Any other reasonable duties which may be required.
